Can you verify a factory without coming to China?
You can, but "verifying" is a matter of degree.
| Method | What you can see | What you cannot see |
|---|---|---|
| Video tour | The workshop, the equipment, the products in production, the number of workers | Real capacity, real customers, real finances |
| Third-party factory audit | An objective on-site record (photos, video, interviews) | Long-term stability |
| Samples | Product quality, workmanship | Batch-to-batch consistency |
| Documents | Business licence, certifications, export records | Documents can be forged |
The core in one line: remotely you can verify "whether it exists", not "whether it is stable".
On a video tour, what should you look at?
Do not let them "walk you around"; you name the points.
Five must-see points:
| # | What to look at | Why |
|---|---|---|
| 1 | The workshop | Whether production is real (machines turning, workers working) |
| 2 | The equipment | Whether the key machines are there (injection moulding machines, vacuum furnaces, pick-and-place machines) |
| 3 | Raw material / work in progress | Whether material is staged (it means orders are running) |
| 4 | The QC bench | Whether someone is actually inspecting (not just props) |
| 5 | Warehouse / dispatch area | Whether finished goods are waiting to go out (it means there are customers) |
How to "name the points":
- "Please turn the camera to the injection workshop" (not "show me around")
- "Please film the nameplate on this machine" (to see the model and the year)
- "Please let the workers who are working come into shot" (to see whether production is real)
⚠️ One counter-intuitive point: the "cleaner and tidier" the picture, the more likely it is a showroom. A real workshop has offcuts, stacked work in progress and the workers' water cups.
Where a video is easiest to fake
Three places.
| The trick | How to break it |
|---|---|
| Borrowing someone else's workshop | Have them film while walking (no cuts), enter through the main gate, and look at the sign |
| Staging (switching the line on for the shoot) | Have the workers do the job in their hands (not stand around), and look at the progress of the work in progress |
| Filming only one corner | Ask for wide shot and close-up alternating (the whole workshop plus the machine nameplate) |
One hard method: have them film "today's date" — a phone calendar or that day's newspaper placed next to the machine. A fake workshop cannot produce that.
A third-party factory audit: how to find one and how to use it
Third party = an independent inspection body.
Three services:
| Service | What it checks |
|---|---|
| Factory Audit | Business licence, capacity, equipment, workforce, management systems |
| Social Audit | Working hours, wages, safety, child labour |
| Inspection | Samples the product (this is goods inspection, not a factory audit) |
How to find one: use a qualified third-party body (not "a friend of mine over there").
⚠️ One important thing to understand: a third-party report only covers "that day, that batch". It cannot promise that every future batch will be fine.
Samples: how do you verify them properly?
A sample is "evidence you can hold in your hand", but there are two things to watch.
① The sample and the bulk goods may not be the same thing
- The sample is made by hand; the bulk goods are made on the line
- The sample uses good material; the bulk goods may switch material
② The defence: a sealed sample
- Once the sample is confirmed, each side keeps one, signed and confirmed
- The bulk goods are checked against the sealed sample
A sealed sample is the only evidence you can put on the table.
How do you check the documents?
Four documents, each with its own way of being faked.
| Document | What to check | How it gets faked |
|---|---|---|
| Business licence | Company name, business scope, date of establishment | Using someone else's licence (check the Unified Social Credit Code) |
| Certificates | Certificate number, validity period, issuing body | A Photoshopped certificate (check the number on the issuing body's website) |
| Export records | Customs declaration, bill of lading | Borrowing someone else's papers |
| Bank account | Whether the account name matches the contracting party | A third-party collection account (high risk) |
How to check:
- Business licence: look it up on the "National Enterprise Credit Information Publicity System" (`gsxt.gov.cn`)
- Certificates: check the number on the issuing body's official website
- Bank account: the account name must match the contracting party (a mismatch is high risk)
A combined plan (when the budget is tight)
If the budget is limited, work in this order:
| Priority | What to do | Cost |
|---|---|---|
| 1 | Video tour (name the five points) | Almost nothing |
| 2 | Ask for a sample + seal it | Sample fee + courier |
| 3 | Check the business licence + bank account | Almost nothing |
| 4 | Third-party factory audit (for large amounts) | A few thousand yuan |
Do the first three and you screen out most of the unreliable ones. The fourth step is only for large orders.
When must you go there in person?
Three cases.
- The order is large (first cooperation, and the amount is more than you can afford to lose)
- The product is complex (tooling and several processes involved)
- They refuse a video call (anyone who refuses a video call can basically be dropped)
⚠️ One judgement: "refusing a video factory tour" is the strongest negative signal — far more serious than "the price is high".
