Shipping Marks and Labels: Confirm Before
Before a production run starts, the shipping mark and label content must be confirmed in writing, with a version number and a date. That single action decides whether our pre-shipment check measures your goods against an agreed reference or against someone's memory. Our self-check covers five points — quantity, appearance, function, packing and shipping marks — and all five must match the approved sample; where a certificate is required for the product, it must be present, and we issue a packing list. We are a Yiwu-based sourcing agent and export trading company, not a factory, so the goods come from our partner-factory network and the check is ours.
What has to be agreed in writing
Four items, and each one needs a version and a date:
- Mark content. The consignee or notify party, plus the identifier that goes on the outer carton.
- Label content and language. What the label says, and in which language.
- Artwork and its version. The file that will actually be printed, identified by version.
- The reference sample. Which approved sample the mark and label must match.
Your shipping mark is set by you. There is no mandatory unified international format for a buyer's own mark, so nothing here imposes one — what matters is that the version you approve is the version we check against.
Destination-market label rules are a separate question. Language, composition and warning requirements are set by the market you sell into, and we have not verified them for your market. Confirm them with your importer before artwork is finalized.
Passing the mark fields to the factory
Once the four items above are fixed in writing, they travel with the order as a controlled document: one version number, one date, and the approved sample reference. The practical benefit shows up at the end of production. Our team checks the sample and the production batch and provides a photo or video self-check record before shipment. When the mark and label are already agreed, that record is an audit against a document rather than an opinion.
If you want to see the packing and the marks on camera before committing, you can book a live video call and view the goods and packing at the market, in our warehouse or at the partner factory. The call is arranged in advance, and you send the list of items you want to see beforehand. This works well before you book flights.
How the check is arranged and what you receive
The check is arranged at your request — we do not promise it by default — and we can go to the factory. What we issue is a self-check record: photos, video and a checklist. It is not an inspection report, because we are not a third-party inspection body.
If you need a formal inspection report, it has to be requested from a qualified third-party agency. That agency issues the report and carries the cost and responsibility. You can also name your own inspection company to attend the partner factory. For buyers who need documentation for customs, retail onboarding or a letter of credit, this is the route to plan for — and the self-check record is a useful companion, not a substitute.
Where a certificate is required for the product, it must be present at the time of our check. Certificates are issued by the partner factory; we verify the certificates our partner factories provide and check them against your target market requirements, such as CE, SABER or NOM. We do not hold certificates ourselves and we do not issue them.
Order scope is not the same as product MOQ
These two get mixed up constantly, so keep them apart.
Our sourcing service has no order-size threshold. Amount, quantity and number of categories have no minimum, and a mixed-category inquiry is accepted. You can send a list that combines storage racks, cleaning appliances and garden tools in one inquiry.
The minimum order quantity (MOQ) shown on a product page is a supplier-side minimum, and nothing described in this article changes it. MOQ is set by the partner factory for that item; order scope is set by us for the sourcing service. If your quantities are small, the practical answer is usually to combine categories in one inquiry rather than to expect the MOQ to move.
Illustrating this with real catalog items
Marks and labels look abstract until you put them on an actual carton. Take a mixed order across our storage and organizer ranges: a 10-tier drawer storage rack with small bins, an under-bed storage rack in Oxford fabric with hollow board and a 20cm narrow gap rolling cart, 4-tier. Three items, three partner factories, three label artworks — and one consignee mark that has to be identical on every outer carton.
That is exactly where a written confirmation earns its keep. If the label artwork for the narrow gap cart is at version 2 and the artwork for the drawer rack is still at version 1, the self-check record will show which version was actually packed. Without a version and a date on the confirmation, both are just "the label we discussed."
Storage and organizer items are the clearest example because the label often carries the product name and dimensions, and the outer carton identifier has to match the packing list we issue. Get the version right once and the rest of the check is mechanical.
Before you place the order
Send us the mark content, the label content and language, the artwork version and the sample reference you want to check against. We confirm them in writing with a version and a date, then run the self-check against that document and send you the photo, video and checklist record before shipment.
Two things to settle on your side first: confirm your destination-market label requirements with your importer, and decide whether you need a third-party inspection report, since that must be booked with a qualified agency rather than requested from us.
