Supplier Self-Check or Third-Party Inspection?

Inspection is arranged at your request — we do not promise it by default. That single sentence is the frame for everything below. We are a Yiwu-based sourcing agent and export trader, not a factory, with no production line of our own; our role is to source, compare prices, check goods and arrange export according to the buyer's requirements. When you ask us to check an order, we may go to the factory and we issue our own self-check record — photos, video and a checklist. We do not issue an inspection report, because we are not a third-party inspection body. When you need a formal third-party report, it is requested from a third-party agency (for example SGS, BV or TUV); that agency issues the report, and the cost and the responsibility stay with the agency.

Two Different Deliverables, Two Different Purposes

What our self-check record is

Our team checks samples and production batches, and before shipment we provide a photo or video self-check record. It is a working document: it shows what we saw, on which items, at what stage. It is not a certificate and not an inspection report, and it does not transfer responsibility for the goods to us or to anyone else.

What a third-party report is

A formal inspection report comes from a third-party agency, not from us. You appoint the agency, the agency inspects and issues the report, and the agency carries the cost and the responsibility. If you want your own inspection company present, you can name it — and you can also visit the partner factory that is running your order.

When a Supplier-Side Self-Check Is Usually Enough

For repeat orders, low-variance items and categories where you already know the factory's output, a self-check record is often proportionate. It is also the practical choice when your order mixes many small categories, because a formal inspection of every line item can cost more than the risk it removes.

Before you commit to a trip, you can book a live video call and look at the goods and the packing on camera — at the Yiwu market, in our warehouse or at the partner factory. The call is by appointment, and you send the list of items you want to see beforehand so we can prepare. This can be used before you book your flight: confirm the goods and the site on camera first, then decide whether to travel.

When Paying for a Third-Party Inspection Is Worth It

Consider a third-party report when the cost of being wrong is high rather than when the order value is high. Three situations push in that direction:

Certificates come from the partner factories; we verify the certificates our partner factories provide and check them against your target market requirements such as CE, SABER or NOM. Certificates and test reports are available on request.

Carton-Level vs Unit-Level: Know Which One You Bought

A carton-level check confirms quantity, carton count, labelling, packing method and outer condition. It answers: did the right goods, in the right number, get packed the right way? A unit-level check opens individual pieces and examines finish, assembly, function and conformity to the approved sample. It answers: is each piece what you approved?

For a multi-category order, a common and practical split is carton-level for the whole shipment plus unit-level on the two or three categories where a defect would be most expensive for you. State which one you want, per category, in writing — otherwise you may receive a carton count and assume you received an inspection.

Why the Record Must Be Traceable to a Batch

A record that says "goods look good" cannot be used for anything later. A record that names the item, the batch or production run, the date and the person who checked it can be matched against what arrives at your warehouse. If a problem appears three months after arrival, a batch-traceable record is what lets you and the factory discuss the same shipment instead of arguing about which one it was. Ask for that level of specificity before the goods leave, not after.

Verifying the Supplier Side Independently

Two official Chinese channels let you check a supplier's identity yourself, without relying on anyone's assurance. Company registration, administrative penalties and annual reports are published through the national enterprise credit information publicity system, searchable by company name or unified social credit code. Separately, customs credit ratings — including AEO status — are published by China Customs under the measures effective from 1 April 2026. Note that these published credit records do not include transaction-level export or customs declaration records.

If a commercial dispute does arise, be aware of the boundary: China's 12315 complaint channel is built for consumers buying for personal living needs, so purchases made for resale or business purposes may not be accepted there. For cross-border B2B commercial disputes, the CCPIT commercial legal service centre handles mediation across trade, transport, logistics and related fields, and accepts a case on the application of one party alone.

Practical Decision Checklist

  1. List your categories and mark the ones where a wrong material, a wrong rating or a wrong function would cost you most.
  2. Decide per category: carton-level, unit-level, or a third-party report.
  3. Tell us in advance — inspection is arranged at your request, and we do not promise it by default.
  4. Specify in writing what the record must show: item, batch, date, photo or video, checklist.
  5. If you need a formal report, appoint a third-party agency directly; the report and its cost stay with that agency.

Quotation and Next Steps

Our quotations are on FOB Yiwu terms, tax excluded. Commission depends on order size — contact us for a quote. Note that we do not provide freight forwarding services: we do not book space, issue transport documents, collect freight or handle customs clearance, and freight rates and transit times should be asked of the forwarder you appoint yourself. Our role in the logistics step is limited to preparing export documents on FOB Yiwu terms and coordinating with your nominated forwarder.

Visits to Yiwu are by appointment — send us your travel dates and the products or factories you want to see, and we will confirm the arrangements before you travel. If you would like a quotation, or to arrange a visit and a live video call to look at goods and packing before you book, contact us.

Policy status note: The visa-free and transit-related policy details referenced in our sourcing context are valid until 31 December 2026. Visa-free entry to China does not require an invitation letter. Buyers who do not meet visa-free conditions still need to obtain a visa before entry.
