How to Write a First Inquiry That Gets Quoted
Small and mid-sized retailers across Latin America often buy one product category at a time. When you approach a Yiwu sourcing partner for the first time, the quality of your first message decides whether you receive a usable quotation or a vague reply. This article explains what to include in that short inquiry, what a one-stop sourcing agent can and cannot do with a small first order, and which details must be settled before a price means anything.
Why a Short Inquiry Still Needs Structure
A short inquiry is not an incomplete one. You can write five lines and still give your supplier everything needed to quote. The problem is that most first messages leave out the two or three details that make pricing possible — and then the reply becomes a list of questions instead of a price.
If your message already contains the product, the material, the quantity, the destination and the packaging requirement, your sourcing partner can go straight to the partner-factory network and come back with numbers.
The Six Elements of a Quotable Inquiry
1. Product type, with photos
Name the product clearly and attach photos. Photos remove ambiguity faster than any description. If you are comparing a few models, send a photo of each and number them.
For example, if you are testing a storage line, a photo of a 10-tier drawer storage rack with small bins tells your supplier the tier count, the bin layout and the tube diameter at a glance. A photo of a 3-tier sink storage rack with wheels immediately shows the mixed ABS/PP construction, which affects material cost. If your category is small appliances, a photo of a portable fan heater or a robot vacuum mop with app control lets the supplier identify the exact configuration you have in mind.
2. Material and finish
State the material and the finish you require, not just the look you want. "Plastic" is not enough — specify PP, ABS, PET, steel, or a combination, and say whether the surface should be matte, glossy, painted or powder-coated. Material and finish are the two variables that move cost the most, and they are the two that buyers most often leave out.
3. Target quantity for a first order
Give a number, even if it is modest. A target quantity lets your supplier check what the item can actually support. Be aware that order size concerns two separate things: our service — we accept inquiries regardless of order size — and the product MOQ shown on the product page, which is set by the product and supplier side. These are separate matters, and neither replaces the other. We do not state an MOQ of our own, and we cannot confirm any MOQ or lead time that is not shown on the product page: both depend on the specific item and must be confirmed item by item.
4. Target price, and the price basis it refers to
Give a target price and say what it refers to: ex-works, FOB, or landed. A number without a basis cannot be compared with anything. Our quotations are issued on FOB Yiwu terms, tax excluded. If your target price was calculated on a different basis, say so, and the two figures can be aligned.
5. Destination country and port
Name the destination country and the port of entry. This matters even though we do not arrange transport: our role in the logistics step is limited to preparing export documents on FOB Yiwu terms and coordinating with the freight forwarder you appoint. Your destination tells your supplier which documents and which labelling conventions your market expects.
6. Packaging and labelling requirements, in Spanish
If your market needs Spanish-language packaging, retail barcodes, or specific warning text, write that requirement into the first inquiry. Spanish labelling is a common requirement for Latin American retail, and it is far easier to price at the quotation stage than to add after production. Say whether you need individual retail packing or bulk packing, and whether the carton markings must follow a particular format.
What a Sourcing Agent Can and Cannot Do With a Small First Order
Can do. We are a trading company and a one-stop sourcing agent, not a manufacturer. We work with a partner-factory network and a supplier network in China. With a small first order, we can match your requirement by material, process and price to suitable partner factories, purchase from the local Yiwu market and the wider partner-factory network, check samples and production batches and provide photo or video self-inspection records before shipment, prepare export documents on FOB Yiwu terms, and verify the certificates our partner factories provide against your target market requirements, such as CE, SABER or NOM.
Cannot do. We do not provide freight forwarding services. We do not book space, issue transport documents, collect freight charges, handle customs clearance on your behalf, or operate a consolidation warehouse. You appoint your own freight forwarder, and freight rates and transit times are questions for that forwarder.
On samples. A sample fee is charged. Once the order is placed, that fee is deducted from the order payment.
On commission. Commission depends on order size. Contact us for a quote.
On visits. Visits to Yiwu are welcome by appointment in advance.
What You Should Expect to Provide Before a Price Means Anything
A price is only meaningful once the following are fixed: the exact item and configuration, the material and finish, the quantity, the price basis, the destination, and the packaging and labelling specification. If any one of these is open, the quotation is provisional by definition.
You may also be asked to confirm who will inspect the goods and which certificates your market requires. Certificates are issued by the partner factories and verified by us against your target market requirements. Buyers who want to check a supplier's registration and business scope independently can consult China's official enterprise information publicity system, which publishes registration and filing information, annual reports and administrative penalty records.
A Practical Way to Reduce Risk on the First Order
Keep the first inquiry narrow — one category, a few models, a clear quantity and a clear destination. Then confirm the item-level MOQ and lead time for each model before you commit, because these depend on the specific item and must be confirmed item by item. This is a practical way to reduce risk, since it separates what you can already decide from what only the product and supplier side can confirm.
